After-Hours Call Handling for Veterinary Clinics
Your phones covered overnight, at weekends and through holidays by people trained on your triage protocol — booking the routine calls, and getting the genuine emergency to your on-call vet or referral hospital within minutes.
Why this is hard
The part nobody budgets for.
The overnight call is the one that costs the most in both directions. Send every caller to an emergency hospital and you lose visits you could have handled on Monday, along with the goodwill of a client who paid ER prices for something that could have waited. Send them all to voicemail and the one dog that genuinely needed an hour ago waits until morning. Neither an answering machine nor a generic call center can tell those two apart, because telling them apart is a clinical judgment made from what the owner is describing on the phone.
What you get
After-hours answering, in full.
Triage to your protocol, not ours
We work from the escalation rules your veterinarians set: which symptoms go straight to the on-call number, which go to the referral hospital, which are safe to book for the morning. The protocol is yours; we follow it exactly and record what was said.
Routine calls booked, not messaged
A wellness visit, a nail trim, a boarding question or a food order gets handled end to end and written into your practice management system, so your morning starts with a schedule rather than a voicemail queue.
A real emergency escalated in minutes
When the call meets your emergency criteria, the on-call veterinarian is reached by the route you specify with the history already captured, and the owner is told exactly where to go and what to bring.
Every call documented before your team arrives
Each call is logged with what the owner reported, what was advised and what was booked, so nothing has to be reconstructed from memory and nothing is lost between the night and the day.
Covered from day one
- Overnight, weekend and holiday coverage on your own number
- Symptom triage against your written protocol
- On-call veterinarian escalation, with history captured
- Referral and emergency hospital routing
- Routine appointment booking into your system
- Boarding, grooming and prescription refill questions
- Euthanasia and end-of-life calls handled by a person, always
- A logged record of every call before your team opens
Automated, then staffed
The routine half runs itself. The rest is a person.
The instant pickup, the caller identification and the routine booking are automated, so nobody waits through a ring cycle at 2am and nobody pays a person to type an appointment. The triage decision is not: the moment a caller describes a symptom, a trained person is on the line. That split is what keeps an after-hours service both affordable and safe.

Every assumption this rests on
These are conservative public US averages — employer payroll tax, benefits load, paid leave, and the rest — not GH Business Solutions' own measured figures. Every number above is either something you entered or something listed here: nothing is hidden, and nothing is rounded in our favor. It is disclosed in full so you can check the arithmetic yourself rather than take our word for it.
| Assumption | Value |
|---|---|
| Employer payroll tax | 9.15% (FICA 7.65%, plus federal and state unemployment) |
| Benefits load | 25% — insurance, retirement and supplemental pay only, since tax and leave are costed separately |
| Paid leave | 20 days (roughly 12 vacation days plus 8 public holidays) |
| Workstation and software | $1,500 |
| Cost per hire | $1,300 (SHRM 2026 median for nonexecutive roles) |
| US voluntary turnover | 18% a year (published US range is 13%-18% — we use the top of it) |
| GH rate | $10.00 per billable hour (our range is $9-$10 — we cost the top of it here) |
| Self-managed seat | $450 a month salary at cost, plus $70 a week for the desk, plus a $695 recruitment fee over 2 years |

Common questions
Before you ask.
Are the people answering trained in veterinary work?
Yes. This is a dedicated team trained on veterinary terminology, your triage protocol and your practice management system, not a general answering service reading a script. They stay on your account, so by month three they know your regulars and your veterinarians' preferences.
What happens with a genuine emergency at 3am?
It follows the rule your veterinarians wrote. Typically the on-call vet is reached directly with the presenting history already captured, or the owner is routed to the emergency hospital you nominate with directions and what to bring. The call is never held for morning triage, and the escalation is logged with a timestamp.
Can you book into our practice management software?
Yes. The team works in whatever scheduling and records system you already run, using credentials you issue and permissions you control. Nothing is migrated and nothing new is installed on your side.
How is an end-of-life call handled?
By a person, without exception, and never by an automated system. Those calls are routed to a trained team member immediately and, if your protocol calls for it, straight to a veterinarian. It is the clearest example of the work we will not automate.
What does after-hours coverage cost compared with an answering service?
Usually less than a generic answering service once you count what each one actually resolves. A message-taking service costs less per call and converts almost none of them; a trained team books the routine ones and prevents unnecessary ER referrals. Our savings calculator prices a seat honestly, and we will tell you if your call volume does not justify one.
